Day 1 is in the books! Val the operations manager/co-owner and I sat down and discussed what my hours of availability are so we could work out a schedule. Due to work and schoolwork demands we decided that I could make it into the box 2-3 times per week, at 4 plus hour increments. Val is an extremely nice and understanding person and is someone I have known for a few months as a current CrossFit GSP member. Since she is understanding of my busy schedule she was wiling to schedule my hours on a week by week basis, but we will remain in contact on a daily basis just to check in. Today was filled with learning the CrossFit GSP system and how they manage members, inventory and apparel via the internet (Front Desk Hq). Val is in charge of most of the marketing strategies, promotions, and events that go on at the gym. Some other aspects of her job include making sure all classes are staffed with coaches, new/old apparel and managing the box overall.
One of the first things to keep in mind for any business is to check the phones for voicemails. In the CrossFit community with loud music and weights flying around it can be hard to hear the phone ring, so by checking it periodically and at the start and end of every day will prevent us from missing a potential new member. On the computer screen frontdeskhq, the CrossFit GSP facebook page, and the Gmail account is always left open so updates to the schedule, new/old member information and social media can be edited regularly. Frontdeskhq is an awesome tool that organizes all of the members who belong to the box, purchase our merchandise, and the class schedule. This is a way for the business to see what kind of membership everyone has, it is easy to cancel or freeze accounts, and creates a new one account or transaction at the click of a button. Another positive aspect of this system has a shopping cart feature that includes all of CrossFit’s GSP merchandise and apparel so whenever members or visitors buy something we can link it to their account if they chose to use their credit card.
An interesting aspect to CrossFit GSP is that they use two cash registers. One is for any supplements that are purchased with cash and the other is used for memberships, apparel, or drinks that are paid with cash as well. Having two registers doesn't seem very safe or practical, but it is the best way for the supplemental company (Total Nutrition) to monitor closely how the box is doing regarding its sales. CrossFit GSP is trying to be one of the leaders in Bergen County so one highlight of the gym is the Supplement selection and Total Nutrition’s protein products. The box gets calls from all over the east coast with people looking to purchase some of the protein and supplements. All items that are purchased by the members and visitors is tracked in excel and in a notebook so all items can be accounted for.
Today was a day filled of leaning their system and taking down notes so I would not forget the process or any passwords. It was a little over whelming because I did not realize how much computer based systems this CrossFit box used and relied on for managing their members and other features. Over all it was a successful first day and will be reviewing what was learned today over the next day or so, so I could begin helping out behind the desk. Also, in the next few days signing up new members will also be discussed so I can start handling that aspect as well.
